The Difference Between Average and Excellence Is Only 15 Minutes!

Marcia Ramsland, the "Organizing Pro," knows the importance of using time to the glory of God. In this Time Management UPGRADE, she helps us redeem our timeespecially our "power hours."

Wise time managment has always ranked high in my (Dawn's) priorities, but I still learned something new from Marcia's wise approach!

15 Minutes x 5 Days = 1.25 Hours a Week or 5.4 Hours a Month or 65 Hours a Year!

Likewise, if you lose fifteen minutes a day, you will have lost over an hour weekly and 65 Hours a year of valuable time!

What Will You Gain—or Lose—This Year?

How could fifteen minutes make a difference?

Working smarter means looking for those fifteen minutes to bring your work from average to excellence by doing the following:

  • Carefully proofread a proposal or important e-mail before sending it off, fixing mistakes, and setting the right tone.
  • Confirm a meeting agenda and its attendees a day ahead, saving everyone’s time and creating a reputation as someone who begins and ends meetings promptly.
  • Review tomorrow the night before, writing down your top three priorities so that in the morning you can get right to work.
  • Plan 15 minutes at the end of each day to bring closure to open ended items like emails and cleaning up your workspace.
  • Get to sleep fifteen minutes earlier so that you can think better the next day and stay healthier long term.

People performing with excellence seek out those fifteen-minute advantages to spend on their priorities.

Work Smarter by Controlling Your Power Hours

Everyone has a “power hour” where they can buckle down and produce amazing results in a short period of time.

Controlling your power hours for strategic activities is your secret to getting the most out of your day.

You need three in a day.

Morning Power Hour:

The early bird gets the worm if you are a morning person, but loses it without a strategy.

Plan productive priority projects for the week on Sunday night, and mark them as appointments. Get up earlier, like at 5:00 or 6:00 a.m., to keep those appointments with yourself.

Noon Power Hour:

Noon is a great power hour to meet with clients, coworkers, or friends. Schedule this “people power hour” time for two lunches per week on a weekly basis, such as on Tuesdays and Thursdays.

Afternoon Power Hour:

The “wrap-up power hour” is the time to bring closure for the day’s work the hour before you finish for the day, close down e-mail, finish the project at an appropriate stopping point, make final phone calls, and write a list of priorities you will pick up with tomorrow morning.

Strategically utilize the rhythm to your day to always put your best work, your people time, and your closure hour at the same time each day. You’ll realize, “If I don’t do this project at this time, I’ll never get back to it.” So you’ll schedule it and do it.

It’s freeing, and the results will be amazing!

Managing our time well reminds me of the Bible verse that was posted on my childhood bedroom door growing up:

“Whatever you do, work at it heartily as working for the Lord and not for men” (Colossians 3:23).

That inspires me to excellence. How about you?

Finish Well: Embrace Freedom

In the previous two UPGRADE posts, "Take Courage" and "Build Strength," we considered a number of ways seniors can finish well. In this final post in the series, I (Dawn) want us to consider how we can "Embrace Freedom."

In my span of 65 years, I've discovered two kinds of seniors.

One kind retires from life and fails to dream new dreams. As one such woman told me, "I'm just waiting for the rapture." You may have heard someone say that too.

The other kind grabs hold of every day, buying up the time. As one senior I know said,  

"I don't know how many days I have left on this earth, but I'm not dead yet and I'm going to drink my cup of life dry!"

The first woman foolishly sqandered many opportunities to serve the Lord. The second woman was living out Ephesians 5:15-16, redeeming time, wisely making the most of every opportunity.

I want to be like that second woman. I want to redeem the rest of my years. Because I have freedom in Christ, I want to embrace freedom and finish well.

Now I don't know what redeeming the senior years looks like to you, but here are four ways I'm going to embrace freedom in my own senior years.

First, I'm going to . . .

1. Purge the Unnecessary.

In today's culture, with so many things to buy and so many storage units to keep them in, it may not be as natural to pare down in the senior years as it used to be. To be sure, many are "down-sizing" as they get older, but others are still burdened down with too much stuff.

In our elder years, we should be simplifying our lives, purging out the unnecessary, making much of our sweet memories, and preparing for heaven!

Many problems would be helped or even solved, if we just owned a lot less.

  • We might find extra hours in our day or more money in our checkbooks;
  • We'd have a lot less housework to do—like dusting all those knick-knacks;
  • We'd eliminate a lot of stress about our stuff;
  • We'd find the calming freedom of "space;"
  • We'd be able to, perhaps, release ourselves from others' expectations (just think about the freedom of not having to keep up with the Joneses or fashion's dictates); 
  • And maybe we'd finally learn true biblical contentment.

It's not about being a minimalist. It's about becoming a wiser consumer and a better steward. It's about finding the joy of freedom. It's about not being "encumbered" and distracted by so much stuff!

If you're looking for help decluttering, there are many good books that can help. I recommend Kathi Lipp's book, Clutter Free, and Marcia Ramsland's, Simplify Your Space.

2. Use Resources Wisely.

Wouldn't it be wonderful to enjoy financial freedom in old age? That doesn't just happen. Many seniors have frittered away valuable dollars that could have been invested for the latter years.

But regardless of our past foolishness, we can still learn to be good financial stewards. There are so many helpful resources to read and apply, like Ron Blue and Jermey White's Faith-Based Family Finances; Dave Ramsey's Your Money after the Big 5-0; and numerous books and booklets by financial expert Ellie Kay.

It's not just financial resources we need to consider. I believe God wants us to walk through our homes and ask Him how we might better use the material goods in our homes. Maybe we could lend or give an item we own to someone in need. Or maybe we could sell something we have to make compassionate use of the money we generate.

Maybe there is a skill we have that could be used for the Kingdom. We could make quilts, blankets or clothing for someone in need. We could paint someone's fence or help plant a garden. We could write or edit for a financially-strapped ministry. Ask, "What can I do?" Then ask, "How can I use this, Lord?"

Another wise use of resources is considering where we might leave special financial gifts in our will for a favorite ministry or two after we pass on. (You do have a will, right?)

3. Keep on Dreaming.

As people in many walks of life have noted, when we stop dreaming, we start dying inside. If nothing else, our dreams die! And that's sad. Seniors need to keep on dreaming. Dreaming is a diamond for old age with many facets.

Part of dreaming is creativity—figuring out ways to act on our dreams and keep on contributing to our families, church and society.

Creative expression is said to benefit the elderly, promoting health and wellness. I've always admired people like "Grandma Moses" (Anna Mary Robertson Moses), the American folk artist, who started painting in earnest at the age of 78!

Dreaming also includes visionary thinking. Cam Townsend, founder of Wycliffe Bible Translators, went to Moscow and learned Russian to assist in Bible translation when he was 72.

Another part of dreaming is reading and being a lifelong learner. Did you know Chief Justice Oliver Wendell Holmes began the study of Greek at the age of 92? People no doubt wondered why he waited so long. He said, "When else would I have had the time to take it up?"

So keep on dreaming. It will keep your mind young and give you unexpected opportunities to serve the Lord.

4. Pursue New Adventures.

Related to dreaming is: Never be afraid to try something new. When I think of the word "freedom," I often associate it with the word "adventure."

There's just something exciting and freeing about going on an adventure with God!

My friend Pam Farrel has modeled adventursome living over the years. I loved Pam's book, Becoming a Brave New Woman: Step into God's Adventure for You. 

This year, "Adventure" is Pam's focus word—with perfect timing. God is taking Pam and her husband Bill on a big detour in life, but rather than sitting around and complaining about it, they are contemplating what might be right around the corner! They are on a fresh adventure with the Lord. They are anticipating new opportunities with their family and growth in their ministry together.

When we allow God to lead us as He wills, as our Sovereign Lord, we can know that all our adventures will be for our good, others' benefit and His glory.

So don't be afraid of new adventures. Embrace them! (I'm determined to run my life race, wherever it takes me, with joy! Isn't that what you want too?)

3 Habits to Help Us STAY Organized

Marcia Ramsland, the Organizing Pro, helps people organize their home, office, files, holidays—just about everything! In this Organization UPGRADE, she shares about three habits that can make anything more organized.

“As I speak on organizing,” Marcia says, “the comment often arises, ‘I get organized but then it all falls apart. How can I stay organized?’ Good question.”

I (Dawn) am a pretty organized person. The Lord is a God of peace, order and harmony—not "disorder" and confusion (1 Corinthians 14:33); and I think He wants us to reflect that in our lives. That said, I have one area in my home that always disintegrates into disorder, so I was eager to read Marcia’s wisdom for organizing.

Here are three habits that can take you from frustrated to fantastic. Anyone can practice them. It takes one new action at a time and persistence.

1. Practice the “Two Minute Pickup” All Day. 

This means before leaving in the morning clean up the kitchen for two minutes, before lunch spend 2 minutes clearing out emails, before dinner spend 2 minutes organizing desk papers into a To Do list.

You’ll always come back to “order.”

2. Set up a Weekly Schedule. 

A simple 3 x 5 card posted near your computer will remind you: 

  • Monday - send staff email
  • Tuesday - clean out one file
  • Wednesday - send your blog post ... etc. 

Or at home, post it in the kitchen:

  • Monday - wash clothes
  • Tuesday - get groceries
  • Wednesday - vacuum ... etc.    

If you want to improve any aspect of your life, set up a weekly schedule. Test and adjust it until it works.

3. Use an Email or Phone Reminder to Create a New Habit. 

If you want to be on time for work and your drive is 20 minutes, set a reminder to ring 30 minutes before arrival. That gives you a 10 minute cushion to leave.

If you want to remember to exercise more, set a reminder 45 minutes before you need to be at the gym.

Why does a Two-Minute Pickup, Weekly Schedule and email/phone Reminder
work?
 

Because they create regular habits to accomplish things you need to do daily.

These aren’t “To Do” list items. They are routine habits that will build a successful day!

A Personal Application: 

The retirement home in Florida wondered how I could remember to call my mother Monday, Wednesday, and Friday at 4 pm every week. Simple – My phone rang 15 minutes before the time in California and I called my 88-year-old Mom.

When she passed away I had no regrets and lots of good memories. It was a good time habit.

Resolutions, Goals and a Bucket List

Ready for the New Year? I always appreciate those who help us forget those things that are behind and push forward to greater things. Marcia Ramsland is one of those people, and I asked her to share this special New Year's UPGRADE.

"January 1 is the day to write a resolution or two," Marcia says. "If you’re not living the life you love or at least enjoying each day, then perhaps it’s because you don’t know what you want, you know what it is but haven’t worked to get it, or you’ve let life get in your way."

Last year, I [Dawn] picked a special word that motivated me all year long, but I have to admit, my office fell apart last year. Picking one motivating word has nothing to do with organizing your life (unless, perhaps, the word is "organization!") So I'm looking for tips from people like Marcia to help me get back on track!

Here are three ways to change that while you are poised at the beginning of the new year. Pick One Style for a New Year, New You!

1. A Resolution

A New Year's resolution is a January 1 personal commitment for the coming year to change a habit or lifestyle for the better, such as the two most popular ones, to lose weight and get organized!

2. A Goal

A goal is a dream with a plan attached, and is best achieved if there is a positive emotional response to its success, such as moving to a warm climate, redecorating at home, or doubling your income. Jot them on your new monthly calendar.

3. A Bucket List

A Bucket List is a wish list of things you’d like to do in your lifetime that captures your imaginationsuch as climbing Mt. Everest, running a marathon or writing a book. Fill your bucket list with 5-10 things you’ve only dreamed about.

What would it take for a “New Year, New You” lifestyle makeover?

Here is a list of 15 ideas to stimulate your thinking. Write your own list of eight to ten goals you would like to have or do in the coming new year. Think big!

  • Prioritize my life and say “no” with confidence.
  • Find a regular exercise program I like.
  • Eat healthier every meal.
  • Get to bed by 10:30 p.m.
  • Reorganize and upgrade my office.
  • Create a budget and save for my dream car.
  • Plan one enjoyable activity per 52 weekends.
  • Trade childcare for more personal time.
  • Get together monthly with a good friend.
  • Become team manager for your son’s sports team.
  • Go on my bucket list dream vacation.
  • Call parents/grandparents once a week.
  • Send out birthday cards (or birthday emails) on time.
  • Join a new business group.
  • Wrap up leadership responsibility in current organization.
  • Complete a degree over the next three years.

I know this setting goals works for two reasons:

1) Proverbs 13:4 says, “The sluggard (sluggish) craves and gets nothing, but the desires of the diligent are fully satisfied.”

Practically, that means if we steadily work toward a goal, we will get there. Also, if we just set the goal, we won’t get there.

2) I coach women via Face Time, email, and photos to achieve anything from writing a book, or organizing their paperwork, closet, garage or officein 30 days or less! Things they never thought they could do!

When they know I do three-month, six-month, and one-year checkups, they achieve their new, organized lifestyleand maintain it. It works and you can see the “Before and After” photos yourself here

4 'Simplify' Tips to Sail Through December

I have long respected Marcia Ramsland for her wisdom, especially her organizational skills. In this special Saturday Holiday UPGRADE, she shares how to deal with holiday stress.
"Ever since I overcame my own overwhelming and chaotic Christmas Eve wrapping marathons years ago," Marcia says, "I've been passionate about helping people let go of the stress and enjoy the season."

When I [Dawn] read Marcia's recent newsletter about holiday stress, I was in the middle of a migraine and other physical upsets. I knew it was from a too-crowded schedule–afraid I can't get everything done. Her words, "let go," made a lot of sense.

Marcia inspired me to take a nap and contemplate how I could simplify some of my own holiday responsibilities.

As I rested, these words from Jesus encouraged me to seek Him:

"Peace I leave with you; my peace I give you. I do not give to you as the world gives. Do not let your hearts be troubled and do not be afraid" (John 14:27).

I don't think Jesus was talking about my Christmas schedule, but God's Spirit sure did encourage me! Later, I was ready to implement Marcia's four simplification tips.

 Stress? What stress?

December holds four extra activity layers that challenge your very best organization skills.

The four things that complicate our lives in December are: gift giving, decorating, cards, and extra events. But even with the added activitiesnot to mention the complexity (and joy) of relationshipsyou can enjoy the whole season!

1.  Simplify Your Gifts.

Everyone loves to recevie a gift, yet it takes making a Master Gift List of your own (or you can ours), to keep track of what you bought and spent. The same chart every year helps your memory and reminds you where to shop for each person.

2.  Simplify Your Decorations.

Remember that you store your decorations for eleven months of the year so get them up early!

And if it's all too much to put up, make someone else's holidays happy and donate some to charity. It's a Win-Win for you and them!

3.  Simplify Your Greetings.

This can be as simple as  choosing one card for everyone, computerizing your labels, or creating an email names list to send an Online Greeting. Keep in touch.

And send a photo to bring you closer to the people you love. I send a whole photo letter online and love choosing the photos from the year. Do it for others and yourself.

4.  Simplify Your Social Calendar.

Besides attending events you "have" to for work or responsibilities, choose another one or two that are new or make you feel the joy of the season. Make a memory and invite a friend or family to go with you.

December can either be the best month of the year or the most stressful.
